Instead of back-and-forth communications, your vendors can check the invoice payment status and communicate with you through the vendor portal. Read this article to learn how!
1. For checking an invoice status, your vendors can go to the "Invoice" tab under "Receivables".
Your vendors can check the invoice status from the "Status" column at a glance.
2. The vendors can open a specific invoice for more details regarding the invoice status from the "Customer Action" tab.
As an example, according to the "Customer Action" tab below, your vendors can see when the invoice has been received by your company, when it was accepted, and approved and the payment is pending.
3. Once the payment is successfully completed, the payment details will sync from your system to your vendor's system. The vendors can check the payment under the "Payments" tab on the sidebar.
This helps to clarify which invoices are being settled as part of the payment process.
The vendors will receive a notification and the payment receipt in their inbox. The notification will detail out payment reference number, payment amount, payment date, invoice numbers, tax amounts, and amount due.
The payment receipt will also be available under the "Customer Actions" and the vendors can download and access it at any time.
If you have enabled the WhatsApp vendor portal for your vendors then your vendors will also receive the payment notification in their WhatsApp.
4. If your vendors have any questions or comments, they can reach out to you from the "Timeline" tab of the invoice and click on "Add Notes".
5. vendors can tag the right stakeholders or point of contact using @ and ask their questions. Then by clicking on "Post Note" the comment will be shared with the POC.
6. The mentioned stakeholder will get notified immediately and be able to check and respond to the vendor query in no time.
7. The stakeholder can go to Peakflo and leave a note for the vendor and in the same way, they will also receive the answer to their query.
